Role Description
This is a full-time on-site role for an Office Manager at Humabiologics, Inc. in Phoenix, AZ. The Office Manager will oversee day-to-day operations of an office, ensuring that it runs smoothly and that staff can focus on their work as well as administrative tasks, manage office supplies, coordinate meetings, and ensure office operations run smoothly.
Education & Work Experiences Qualifications
- Minimum of associate degree in a relevant field (e.g., Business Administration, Communications, Biomedical Engineering, Materials Science, Life Sciences). Advanced degree is desired.
- Strong problem-solving abilities, attention to detail, and organizational skills.
- Proficiency in Microsoft Office suites and other office technology.
- Basic understanding of systems, procedures, work routines and standards.
Essential Duties & Responsibilities
- Maintain efficiency within the office by establishing the best policies, standards, and procedures.
- Scheduling appointments, meetings, and events, booking travel, and maintaining file systems.
- Maintaining office equipment, identifying needs, and acquiring supplies.
- Overseeing petty cash funds, processing invoices, and managing office budgets.
- Train and successfully onboard new hires.
- Maintain office services by organizing office operations and procedures, managing correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
- Assist department directors in creating and applying policies and procedures, fostering collaboration between departments to emphasize the importance of accurate reporting practices.
- Filtering job applications, organizing induction programs, and providing customer service.
- Office managers should have excellent verbal and written communication skills, interpersonal skills, and customer service skills. They should also have extensive knowledge of office management procedures and be able to type at least 60 words per minute.
